Appointment Deposit Policy (Non-Headway / Self-Pay Clients)
To ensure dedicated time and availability for each client, Heart Mind Body LLC requires a deposit to secure all scheduled appointments for non-Headway (self-pay) services.
Deposit Requirement
A deposit of $ 200.00 is required at the time of booking to reserve your appointment. Headway clients are addressed through Headway profile.
Application of Deposit
The deposit will be:
- Applied toward the total balance of your session at the time of service, or
- Refunded following completion of the session, if payment is collected separately or billed to your insurance company.
Cancellation & Refund Policy
- Cancellations made 48 hours or more in advance of the scheduled appointment will receive a full refund of the deposit
- Cancellations made less than 48 hours in advance will result in forfeiture of the deposit
- Failure to attend a scheduled session (“no-show”) will result in forfeiture of the deposit
Rescheduling Policy
- Appointments rescheduled 48 hours or more in advance may have the deposit transferred to the new appointment time
- Rescheduling within 48 hours will be treated as a late cancellation and the deposit will be forfeited
Late Arrivals
Clients arriving late will still be responsible for the full session fee. The session will end at the originally scheduled time.
Payment Method
Deposits must be made via credit/debit card or other approved electronic payment methods at the time of scheduling.
Agreement
By scheduling an appointment with Heart Mind Body LLC, you acknowledge and agree to this deposit policy.
